8 Compliance mechanisms

This privacy impact assessment (PIA) will be reviewed each time the data matching is updated. This will occur annually from 2016. This PIA includes the years from 1996 to 2014 and will be updated in 2016 when the latest 2015 Agricultural production survey data is available. This will be repeated with the latest data available each year in future.

The datasets created from this data matching will be retained for a period of time that allows for quality assurance and review procedures to be completed, and for a reasonable period of time following publication of the information from this matching, to support that information. As this is new data matching, a retention time frame will be considered at the time of the next annual review of this PIA.

Stage 2 involves setting up a Data Lab at the Ministry for the Environment. A physical inspection of the facility will occur as well as completion of documentation that provides surety around the security of the systems and the Data Lab, for both physical and online security.

Staff seconded to Statistics NZ to complete stage 1 and contracted under the Statistics Act 1975 s37C for stages 2 and 3, and the signing of agreements to Statistics NZ’s security, confidentiality and IT policies are further mechanisms to ensure compliance that protects privacy, confidentiality and security, and contribute to ensuring survey respondents and the public maintain their high levels of survey response and trust in both Statistics NZ and official statistics.
